Purpose of Position
This position is designed to gather data that will assist incoming clients in their regular counseling sessions with a Housing Counselor. The Intake Specialist is there to provide information and refer the client to a Housing Counselor, not to assume the role of a counselor.
Duties
Job Responsibilities
- Receive incoming calls
- Schedule appointments for Housing Counselor(s)
- Prepare and assist client in completion of Intake Form
- Prepare client files for counselor(s)
- Prepare “Sign in/out” sheets for Homebuyer Education Seminars
- Assist in preparing all program monthly, quarterly and annual reports
- Client tracking, follow-up and case management;
- Assist organization in its outreach and education efforts through dissemination of materials and public presentations (some evening and weekend work may be required)
- Assist Economic Services Manager in ensuring that all program participants are appropriately safeguarded and that security and emergency responses are adequate
- Attend Task Force meetings
- Assist with other duties as assigned by management
Standards for Measuring Performance
- Excellent written and oral communication skills.
- Must be able to type a minimum of 60 wpm.
- Outstanding organizational skills.
- Ability to work effectively with persons of all ages and diverse backgrounds, skills and abilities.
- A full understanding of contemporary office technology including personal computer using Microsoft Office, windows, publishing, laptop, electronic mail and fax machine essential.
- Ability to carry out responsibilities with flexibility to adapt to changing needs and goals.
- Ability to balance the needs and expectations of multiple constituents.
- Positive and team-oriented attitude.
- Must have an excellent command of the English language
Education/Experience
High School diploma with specialized secretarial or business school training. At least two years of secretarial or relevant experience required.
Other
Must have a valid Florida drivers license and reliable transportation
